Privacy Policy

The privacy of your data — and it is your data, not ours — matters to us. This policy explains what we collect, why we collect it, how we use it, who we share it with, and your rights.

We don't sell your data. We never have, and we never will.

Who we are

Clippers Base is operated by Ayush Shrestha trading as Clippers Base (sole trader).

When this policy says "we", "us", "our", or "Clippers Base", we mean the business above. When it says "you" or "your", we mean the person or business that uses our services.

When this policy applies

This policy covers:

  • Visitors to clippersbase.com
  • People who sign up for accounts on the Clippers Base mobile app or web app at app.clippersbase.com
  • People who email or contact us for support

This policy does not cover personal information about your clients (the pet owners) that you, as a groomer, enter into the Clippers Base app. For that information, you are the data controller and we are the processor — we hold and process it on your instructions, only to provide the Service to you. You're responsible for telling your clients how their information is handled and for getting any consents required under Australian privacy law.

What we collect and why

Our guiding principle is to collect only what we need.

Account information

When you sign up, we ask for:

  • Your name
  • Email address
  • Business name (optional)
  • Phone number (optional, for SMS notifications)
  • A password (we store a one-way hash; we never see the actual password)

We use this to create your account, send essential service messages, and provide support.

Billing information (paid plans only)

If you subscribe to a paid plan, we ask for:

  • Billing name and address
  • Payment card details — entered directly into Stripe; the full card number never touches our servers

We store the last four digits, the card brand, and the expiry date. We use this to process subscription charges, send invoices, and detect fraud.

Content you put into the app

This includes:

  • Your client list (names, contact details, addresses, pet details, your notes)
  • Bookings, schedules, and calendar entries
  • Invoices and payment records
  • Photos you upload (before/after grooming, etc.)
  • Messages and SMS templates
  • Voice notes that get transcribed (if you use that feature)

We store this so the app works. We hold it for as long as your account is active. You can export it anytime from within the app, and you can delete individual records yourself.

Location data

If you grant location permission, we use your device's location to:

  • Show your current position on the map view
  • Calculate routes to bookings via Google Maps
  • Help you locate clients

We don't track your location in the background unless you explicitly enable that. We don't keep a history of your location.

Calendar data

If you connect Google Calendar, we read and write events on the calendar you authorise. The OAuth tokens we receive are encrypted at rest using pgcrypto. You can revoke our access anytime from your Google Account settings or from within Clippers Base.

Device and usage data

The app and website automatically collect:

  • IP address (for security, fraud prevention, and approximate location)
  • Device type, OS version, and app version (for support and crash diagnostics)
  • Screens viewed, buttons tapped, features used (analytics, via PostHog)

We use this to keep the Service running, fix bugs, and understand which features actually get used.

Communications with us

If you email support@clippersbase.com or message us through the app, we keep that conversation so we can help you and reference it if you contact us again.

Marketing emails

When you sign up, we ask if you'd like to receive product updates and tips by email. This is opt-in via a tickbox at signup. You can unsubscribe at any time using the link at the bottom of any marketing email, or by emailing us. Transactional emails (receipts, password resets, booking notifications) are not optional — they're part of the Service.

This complies with the Spam Act 2003 (Cth).

Service providers and overseas data transfers

To run Clippers Base, we work with third-party service providers who handle some functions on our behalf. Each provider only receives the minimum data they need to do their job, and is contractually obligated to handle it consistently with this policy and applicable privacy law.

The categories of services we use include:

  • Cloud hosting and database storage
  • Application infrastructure and offline data sync
  • Transactional email delivery
  • Payment processing
  • Mapping, geocoding, and routing
  • Calendar integration (when you connect it)
  • Push notifications
  • Product analytics
  • SMS messaging
  • Audio transcription (for voice notes)
  • Artificial intelligence services (for AI-assisted features)

Our primary database — including your account information, client records, bookings, photos, and other content you put into the app — is stored in Australia.

Some of our service providers are located outside Australia, primarily in the United States. Where we transfer personal information overseas, in accordance with Australian Privacy Principle 8 we take reasonable steps to ensure those providers handle the information consistently with the Australian Privacy Principles, including by selecting providers who contractually commit to comparable protections.

By signing up, you authorise us to share your data with these service providers as needed to provide the Service.

If you'd like more specific information about a particular service provider, email support@clippersbase.com and we'll respond within a reasonable time.

We may update our service providers from time to time.

When we access or disclose your information

We access your data only when:

  • It's needed to provide the Service (automated, by our software)
  • You've asked us to (e.g., a support request — we'll get your express consent before accessing your account)
  • We need to fix a bug that requires manual intervention. In rare cases this means looking at minimal personal data; we aim to fix the root cause to prevent recurrence
  • We're legally required to (Australian court order, subpoena, regulator request) — we'll tell you unless we're legally prevented
  • We need to investigate suspected abuse of the Service

We don't sell your data. We don't share it with advertisers. We don't use your or your clients' data to train AI models.

If Clippers Base is ever acquired or merges with another company, we'll notify you well before any of your personal information is transferred or becomes subject to a different privacy policy.

Mobile app permissions

The Clippers Base app may request these permissions on your device. They're optional, but some features won't work without them:

  • Camera — to take before/after photos
  • Photos — to attach photos from your library
  • Location — to show your position and calculate routes
  • Calendar — to sync bookings with Google Calendar
  • Notifications — for booking reminders and alerts
  • Microphone — to record voice notes for transcription

We never access your contacts.

You can change these permissions at any time in your device settings.

Your rights

We apply the same data rights to all customers regardless of location. You have the right to:

  • Know what we collect, how it's used, and who it's shared with
  • Access the personal information we hold about you
  • Correct information that's inaccurate
  • Erase your information (note: deleting some data may require closing your account)
  • Export your data in a portable format — there's a built-in export tool in the app
  • Restrict or object to certain types of processing
  • Complain about our handling of your information (see below)
  • Not be subject to automated decision-making that has a legal or similarly significant effect on you

To exercise any of these rights, email support@clippersbase.com. We aim to respond within 30 days. We may need to verify your identity first.

Complaints

If you think we've handled your data improperly:

  1. Email support@clippersbase.com first — we'll work with you to fix it.
  2. If you're not satisfied, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC):

How we secure your data

  • All data in transit between your device and our servers is encrypted using TLS.
  • Data at rest in Supabase is encrypted using AES-256.
  • Database backups are encrypted.
  • Google Calendar OAuth tokens are encrypted at rest using pgcrypto.
  • Row-level security in our database restricts every user to only their own data.
  • We follow standard practices for password hashing, secret management, and access control.

No system is perfectly secure, but we work hard to keep yours safe.

What happens when you delete content

When you delete content from within the app, it's removed from our active database immediately. Backups containing that data may persist for up to 30 days before being overwritten.

When you cancel your account:

  • Your data becomes inaccessible immediately.
  • We permanently delete it from active systems within 30 days.
  • Backups containing your data are overwritten within 60 days.

We may retain limited records (such as billing records) for up to 7 years where required by Australian tax or financial law.

Children

Clippers Base is a tool for businesses. It is not directed to anyone under 18, and we do not knowingly collect data from children. If you're a parent or guardian and you believe a child has signed up, contact us and we'll delete the account.

Privacy Act coverage

Most small businesses with annual turnover under A$3 million are not directly bound by the Privacy Act 1988 (Cth). Even where we may currently fall below that threshold, we voluntarily comply with the Australian Privacy Principles because we believe it's the right way to handle your data.

If we exceed the A$3M threshold, our compliance becomes mandatory and this section will be updated.

Changes to this policy

We may update this policy as our practices change. When we do, we'll change the "Last updated" date at the top. For significant changes, we'll email account holders.
